This prospectus outlines several flexible options for maximizing corporate brand recognition and customer contacts. These opportunities are available as stand-alone items or as a package for various sponsorship levels.

To reach a sponsorship level, you can:

  • Design your own sponsorship package by choosing items from the options shown in the upcoming tabs (booths, advertising opportunities, speaking opportunities, brand exposure, interactive activities and more or;
  • Make a general contribution to the Congress by selecting only the sponsorship level or;
  • Choose a combination of items and general contribution


EXAMPLES:

Company A: Selected an inline booth with exhibitor package 2 (USD 6,500). They will be recognized as an exhibitor.

Company B: Selected a peninsula (USD 6,500) + WTC Exchange (USD 3,500). Company B will be recognized as a Bronze sponsor and will receive all the benefits within this level.

Company C: Selected an Industry Satellite Symposium (USD 110,00) + general contribution (USD 40,000) to reach the gold level. Company C will be recognized as a Gold sponsor and will receive all the benefits within this level (including being the 3rd group to select the Satellite date/time).

Company D: Selected an Industry Satellite Symposium (USD 110,00) + Hotel Key Cards (USD 30,000) + City advertisement ad (USD 50,000) + 30’X30’ booth (USD 38,700) + Cardboard lounge (USD 45,000). Company C will be recognized as a Platinum sponsor and will receive all the benefits within this level.

* Using your sponsorship level “credits”, your organization will be able to select items, as industry symposium session, mobile app, lanyard and more, creating your tailored package.

The success of The World Transplant Congress (WTC) depends on delegates, sponsors and exhibitors using the official housing bureau, International Conference Services Ltd. (ICS). Contracted room obligations cannot be met if registrants reserve rooms outside the official hotel or book hotels through channels other than the official Housing Secretariat. Rooms that are not filled through the official channels create an expense for the Congress in the form of financial penalties (attrition fees) and place the financial success of the Congress and the Association at risk.

A limited number of guest rooms through the Housing Secretariat (ICS) will be offered to delegates at a discounted rate. You must register for the Congress before you can book your accommodation. Please do not contact the Hotel or make a reservation directly with the Hotel.

Although we have done our due diligence and negotiated the lowest possible group rates, we cannot predict future offers made by competing hotels. However, we urge all sponsors and delegates to support the Congress and book through the official housing bureau.

Accommodation can be booked at the same time as your Registration.

Guest Room Rates/Applicable Taxes

Rates are quoted in US Dollars (USD) and based on single occupancy excluding taxes + fees unless otherwise indicated. The room rates will be subject to all state and city taxes in effect at the time of the congress.

Terms and Conditions for Individual Bookings

Booking Deadline: July 4, 2025 23:59 PST (Pacific Standard Time) and is subject to availability. (Rooms may be sold out prior to this date).

Payment Terms: A credit card is mandatory for every reservation and must have an expiration date on or after July 2025. The Hotel will charge the non-refundable, full stay to the credit card 30 days prior to arrival.

Cancellation: Cancellations and reductions in room nights must be made no later than July 4, 2025, in order to avoid a penalty, charge equal to the full stay. Cancellations and reductions in room nights after July 4, 2025, will result in all room nights being charged to the credit card on file. No refunds will be issued for no-shows.

Housing Piracy Warning

WARNING: Please beware of housing piracy companies. They are contacting delegates/sponsors to book rooms through their channels and are claiming that they control the rooms for the Congress. They do not. These companies charge non-refundable deposits from the moment you book their rooms; thus, making it impossible for delegates to cancel their reservations. In some situations, rooms are not booked but payment has been taken.

The Congress Secretariat will send e-Blasts to interest parties on a regular basis. Your one custom banner will be displayed on the body of one e-Blast. Final banner to be provided by the exhibitor upon receipt of the specifications sent by Congress Secretariat.

A video link will be available on the WTC 2025 website with your exhibitor description, logo and website link allowing attendees to have more information about your company before going onsite.

A dedicated area will be reserved for not-for-profit booths inside the exhibit hall. The booths will be an in-line type. The space allocation, within the area, will be based on first-come first-paid.

The Exhibitor Manual documenting all relevant showcasing information will be available before the end of 2024. It will also include the order forms for additional booth accessories and special requests (i.e. power, lighting, display materials, graphics, food & beverage, lead retrieval etc.). Space Allocation
Exhibit space allocation will start in early 2025, and level sponsors will have first choice in selecting booth location, followed by exhibitors on a “first-booked, first-served” basis. Payment must be received prior to booth selection.

No Exhibitor may sublet or share with another Exhibitor.

 

Industry Satellite Symposia

Industry Satellite Symposia are commercially supported educational and promotional activities held with the WTC 2025. The programs are approved by the WTC Program Committee as an independent activity. These programs are not supported or endorsed by the WTC and are not part of the official WTC ACCME accredited program.

 

Date selection: The selection of symposium slots prioritizes sponsors according to their sponsorship level, allowing each sponsor to choose one slot in order of their level. If a sponsor has chosen more than one symposium, their selection for a second symposium will be made after all sponsors in the same category have chosen their dates.

To comply with WTC guidelines, the sponsor must provide the symposium program to the WTC planning committee for approval early 2025. We recommend speakers and chairs to only participate in one symposium.
Submission guidelines will be shared by the end of 2024.

We highly encourage Symposia organizers to offer food and beverage to their audience.
All F&B costs are separate from the speaking opportunity fee. Additional information will be provided in the Satellite Symposium Guidelines.

Theater Presentation (07 available) – USD 40,000
The opportunity to host a theater presentation will provide your company with the opportunity to showcase your organization/service/products for 20 minutes during the Congress breaks. Located in the Exhibit Hall with classroom seating for up to 50 attendees, your use of the space includes basic AV such as microphone, projector and screen as well as electricity, along with 50 headsets with your company’s logo to allow delegates to focus on the content.

The Congress Secretariat will assist with marketing by sending a dedicated eBlast to all registered delegates prior to WTC with a complete listing of all presentations including times and descriptions.

In addition, all presentations will be listed on the Congress website, onsite signage, mobile app and a push notification will be sent 15 minutes before your start time.

Focus Group – USD 25,000
Organize a Focus Group with the WTC attendees in a small meeting, 30 people of fewer.  Meetings that target a specific group to obtain specific data, evaluate services or test new ideas.

Organ Flowers Art Piece (Exclusive) – USD 105,000

Work Pods (Exclusive) – USD 75,000.

These private, quiet spaces are designed for attendees to catch up on email, have a private meeting, or have a conference call. As a sponsor, your logo will be prominently displayed on each pod (06). This unique sponsorship not only enhances attendee experience but also positions your brand as a facilitator of professional development and connectivity at the Congress. A dedicated webpage will be created for attendees to reserve a time at one of the pods, and your logo will be placed on this page along with onsite signage to promote the working pods.

Mobile Application (Exclusive) – USD 75,000

The Onsite Mobile App will be provided to attendees free of charge and will be available on most iOS and Android mobile devices. The mobile app will include the full scientific program, the exhibition floorplan including exhibitor biographies, and general Congress, venue and local information. Timely updates about any program changes or important announcements will be sent through the app via notification alerts. All attendees will be able to interact with each other via the app. Have your logo or advertisement as a splash screen and branding in different areas of the app.

Lanyards (Exclusive) – USD 60,000

Enhance your brand visibility at the conference by sponsoring the official lanyards. These lanyards will be distributed to all attendees to hold their name badges throughout the event. As a sponsor, your logo alongside the WTC 2025 logo will be prominently displayed on each lanyard.

Each day WTC will offer a fun and different activity for our attendees in the Activation Zone, located outside the exhibit hall. Link your brand to one of those activities and connect with the audience in a different way. Your logo will be displayed around the zone during your selected day.

  • ArtRobot Portrait (Exclusive)
    Delegates can receive a unique portrait sketched by a robot in just minutes! As the sponsor of this activity, your logo will be prominently featured on each sheet of paper, providing lasting exposure as attendees take these memorable portraits home to share with colleagues and friends.

    Attendees will, together, create a unique panel with WTC 2025 acronym made with their individual photos. Each attendee takes their photo in the kiosk and places their photo in the panel. Giant Operational Game – USD 35,000

Engage with the WTC attendees in an interactive experience by sponsoring the Giant Operational Game, this nostalgic game will create a fun atmosphere with the attendees. Your company’s logo and branding will be prominently displayed on the game surrounding area. Your organization can also provide prizes, and if requested the game can be placed near your booth, as a booth extension.

Pop-up Meetings Area (Exclusive) – USD 35,000

Provide a dynamic and flexible space for spontaneous collaboration with the Pop-Up Meeting Area. Strategically located on the 2nd floor, this area offers an ideal spot for delegates to engage in one-on-one meetings, or small group collaborations. Your brand will be placed on all signage in this  area.

Charging Station (Exclusive) – USD 35,000

The charging station will allow attendees to power up their mobile phones, tablets, laptops, and other electronic devices for free. The charging station will be in the Exhibit Hall to provide delegates with a comfortable seating area, where they can also recharge. The charging station will be branded with your company’s logo.
